Privacy Policy

This policy explains what GTM Reserves LLC, doing business as Drive Off Dallas, collects, why we collect it, who we share it with, and the choices you have. It covers two groups of people: dealership staff who use the dealer portal, and car buyers who give us their information so we can book them an appointment.

Dealership information we collect

  • Business details: dealership name, legal entity and state, addresses, store hours, and the filters and preferences you set.
  • Staff details: name, work email, phone, job title, role inside the dealership, and sign-in activity.
  • Agreement records: what was signed, when, by whom, and the audit trail behind the signature.
  • Billing records: plan, credits, statements, disputes, and payment identifiers from our payment processor. We never receive or store full card numbers.
  • Portal activity: pages used, requests submitted, decisions made, and messages exchanged with our team by email, text, or phone.

Car buyer information we collect

When someone asks us to help them get into a vehicle, we collect what is needed to qualify them and book an appointment: name, phone, email, general location, the vehicle they want, budget and down payment range, employment and income information they choose to share, and their self-reported credit situation. We also keep records of our conversations with them, including call recordings and message history, and the outcome of the appointment.

We do not run credit reports ourselves, and we do not ask buyers for a full Social Security number, bank account number, or card number through this site.

How we use it

  • To qualify buyers and book appointments with a dealership that fits what they are looking for.
  • To deliver the appointment to the dealership and let both sides confirm what happened.
  • To bill accurately — statements, credits, disputes, and the evidence behind each one.
  • To operate and secure the portal, prevent fraud, and support users.
  • To send service messages about your account. Marketing messages are separate and you can opt out at any time.
  • To meet legal, tax, and recordkeeping obligations.

We do not sell personal information, and we do not share it for cross-context behavioral advertising.

Who we share it with

  • The dealership a buyer is booked with — the buyer's contact details and what they are shopping for, so the store can prepare for the visit. Dealerships may only use that information to work that customer.
  • Service providers who run the platform on our behalf: hosting and database, email delivery, telephony and messaging, and payment processing. They may use the information only to provide their service to us.
  • Professional advisors, insurers, or authorities when the law requires it or to protect people from harm.
  • A successor if the business is sold or reorganized.

Calls, texts, and recording

We call, text, and email buyers and dealership staff to set up and confirm appointments. Calls may be recorded or monitored for quality, training, and to document what happened on a disputed appointment. Texts are transactional; message and data rates may apply, and replying STOP ends them.

How long we keep it

Billing records, the credit ledger, signed agreements, and the evidence behind an appointment are permanent business records — the ledger is append-only by design and is never edited or deleted. Buyer intake and conversation records are kept as long as needed to support the appointment, resolve disputes, and satisfy legal obligations. Accounts closed by a dealership keep their historical records; day-to-day access ends with the account.

How we protect it

Information is encrypted in transit and at rest with our hosting provider. Access is scoped by role: a dealership sees only its own records, staff-only tools are restricted to our team, and signed agreements and appointment evidence live in private storage served only through short-lived, signed links on our own domain. Card numbers are handled by our payment processor and never touch our systems.

Your choices and Texas rights

Texas residents may ask us to confirm whether we process their personal data, get a copy of it, correct it, or delete it, and may appeal a decision we make on such a request. Buyers can ask us to stop contacting them at any time. Dealership staff can update their own name and phone in the portal; role and dealership assignment are changed by us.

To make a request, call (469) 815-2077. We will verify who you are before acting, and we respond within the time the law allows. Note that deleting information does not remove records we are required to keep, such as billing and signed agreements.

Cookies and children

We use only the cookies and local storage needed to keep you signed in and to keep the portal working. We do not run third-party advertising trackers on this site. The service is for businesses and adult car buyers; we do not knowingly collect information from children under 13.
